Privacy Policy

1. Who we are

Sampann Technologies LLP ("we", "us") makes Perpetual AI, an Android app that turns phone-call recordings into notes and keeps a page for each person you speak with. This policy explains what personal information the Perpetual AI app, the Perpetual AI service and our website (stayscloser.com) collect, how we use it, who we share it with, and the choices you have. 2. Information we collect

Account information. Your name and phone number, which you give us when you set up the app.

Call recordings you choose to share. Perpetual AI doesn't record calls. Your phone's own call recorder does. You choose the folder where your phone saves recordings and give Perpetual AI access to that folder only. The app scans that folder on your phone for new recordings; recordings from contacts you've chosen are then uploaded to our servers, where we transcribe them and generate your notes. Recordings from contacts you haven't chosen are left in the folder untouched -- they're skipped, not deleted, and are never uploaded or transcribed. Your recordings include the voices and words of everyone on the call.

Transcripts, notes and commitments. The text we generate from your recordings: transcripts, summaries, decisions, and commitments (who said they'd do what, and by when), stored on the page for each person.

Contact information tied to recordings you upload. Perpetual AI doesn't read your phone's contacts list. When you choose to upload a recording, we send the phone number and any name your phone has cached for that call to our servers, so we can file it under the right person's page. Only the contacts behind recordings you've chosen to upload are shared with us this way.

Call details. The date, time and duration of each recording, and the phone number or contact name where the recording's file name includes it.

Technical and usage information. Device model, Android version, app version, language, and how you use features, collected through our product analytics provider, PostHog. We don't use a separate crash-reporting SDK.

What we don't collect. Perpetual AI doesn't read your text messages or location, or files outside the folder you choose. It does read your call log -- the date, time, duration and other party's number/name for your calls -- to match recordings to calls and to check that recording is working; see "Call details" above.

Support messages. Anything you send us when you ask for help.

Our website. stayscloser.com doesn't use cookies, advertising trackers or third-party analytics, and we don't save IP addresses from website visits.

3. How we use information

We use information to:

• provide Perpetual AI: transcribe the recordings you've chosen, write notes, extract commitments, and build the page for each person;
• keep your account safe and the service reliable, including security, abuse prevention, debugging and support;
• contact you about the service, such as security notices and changes to our terms;
• improve Perpetual AI using aggregated or de-identified information; and
• meet our legal obligations.

We don't sell personal information. We don't use your recordings, transcripts or contacts for advertising, and we don't use them to train AI models for anyone else.

4. People on your calls

Recordings include information about other people: their voices, names, numbers and what they said. We process it only to create your notes. Anyone whose information appears in a recording can email admin@stayscloser.com to ask about it. We'll help within what we hold and what the law allows.

Recording laws differ by country and by state. In some places everyone on a call must agree to being recorded, and in others notice is required. You're responsible for telling people you record and following the laws that apply. Perpetual AI can't check this for you. See our Terms and Conditions.

5. Who we share information with

We share information only with:

• service providers that help us run Perpetual AI, under contracts that limit how they use it: Microsoft Azure for cloud hosting, Sarvam AI for speech-to-text, and Google Gemini for the AI models that write your notes. None of them use your recordings, transcripts or contacts to train their models;
• authorities or others where the law requires it, or to protect rights, safety and security; and
• a buyer or investor in a merger, acquisition or financing, with notice to you where required.

We don't sell personal information to anyone, including our sub-processors. Our current list of sub-processors: Microsoft Azure (cloud hosting), Sarvam AI (speech-to-text), Google Gemini (AI-generated notes), PostHog (product analytics).

6. Where we process information

We process information in India. It may be transferred to and processed in other countries where we or our service providers operate. Where the law requires it, we use safeguards such as standard contractual clauses.

7. How long we keep it

We keep your notes, transcripts and pages while your account is active. We keep the audio of a recording for as long as your account is active -- we don't currently enforce an automatic deletion schedule for audio. If you delete your account, we delete your account details, recordings, transcripts, notes, contact information we hold and usage data linked to you immediately -- we don't currently keep encrypted backups that would outlive the deletion. We may keep limited records where the law requires it or to resolve disputes and protect security. Recordings saved on your phone stay on your phone until you delete them there.

8. Security

We protect information with encryption in transit and at rest, and access controls that limit who at Sampann Technologies LLP can see it -- only staff providing technical support have access, and only for that purpose. No system is perfectly secure, so we can't guarantee absolute security. If we learn of a breach that affects you, we'll tell you as the law requires.

9. Your choices and rights

• Stop Perpetual AI reading recordings by removing its folder access in the app or in Android settings.
• Change which contacts are included at any time in the app.
• Delete your whole account in the app or at https://stayscloser.com/delete-account. We don't currently support deleting individual recordings or transcripts on their own.
• Ask us at admin@stayscloser.com for a copy of your information, to correct it, or to delete it.
• Depending on where you live, you may have further rights under laws such as India's Digital Personal Data Protection Act, 2023, the EU and UK GDPR, or US state privacy laws. These can include rights to access, correct, delete or move your information, to withdraw consent, and to complain to a regulator. We'll respond within the time the law requires.

10. Children

Perpetual AI is for adults. It isn't directed at anyone under 18 and we don't knowingly collect their information. If you think a child has given us information, contact us and we'll delete it.

11. Changes to this policy

If we make material changes, we'll tell you in the app or by email before they take effect. The date at the top shows the latest version.
